Privacy Policy
How PureLogix.ai collects, uses, shares, retains, and protects personal information, and the privacy rights you can exercise.
Overview
PureLogix.ai (“PureLogix,” “we,” “us”) is an AI automation consulting and development agency. This Privacy Policy explains, in plain English, what personal information we collect when you visit our website, request a consultation, ask for an AI callback, or work with us as a client, and how we use, share, retain, and protect that information.
We try to collect only what we need to do useful work for you, to run our business responsibly, and to meet our legal obligations.
Information We Collect
The information we collect depends on how you interact with us. We group it into the categories below.
We may collect:
- Contact details you provide — such as your name, business name, email address, phone number, and role.
- Form submissions — information you enter in our contact, callback, AI readiness assessment, ROI calculator, or consultation forms, including a description of the problem you want help with.
- AI-call consent records — when you request an AI callback, we record the consent text you were shown, your affirmative consent choice, a timestamp, the phone number you submitted, the related request/form identifier, and (where legally appropriate) your IP address and browser user agent. These records exist so we can prove that a call was requested.
- Call content — if you take an AI assistant call, we may keep a recording and/or transcript and a short summary of the conversation, where permitted by law and disclosed to you.
- Consultation and project information — notes from meetings, documents and files you share with us, and details about your workflows that we need to scope and deliver work.
- Account and portal data — if you use a client or admin portal, we store login identifiers, role, organization membership, and activity needed to operate the account.
- Usage and device data — basic technical information such as IP address, browser type, pages viewed, and approximate location, collected through standard server logs and privacy-respecting analytics.
- Cookies and similar technologies — a small number of cookies needed to keep you signed in, keep the site secure, and understand aggregate usage.
- Referral cookie (plx_vid) — if you arrive through a partner referral link, we set a cookie named “plx_vid” that holds a random visitor ID (not personal information). It lets us credit the partner who referred you if you later submit a form. It is HTTP-only (not readable by page scripts), sent only with same-site requests, secured in production, and expires after a set time window (about 90 days). You can delete cookies at any time in your browser settings.
We do not seek to collect special-category or sensitive personal information, and we ask that you not submit it through our forms unless we have specifically requested it for a legitimate purpose.
How We Use Information
We use personal information to:
- Respond to your inquiries and provide the consultation or callback you requested.
- Evaluate automation opportunities and prepare assessments, proposals, and recommendations.
- Deliver, manage, support, and improve the services we provide to clients.
- Operate our website, client portal, and admin tools, and keep them secure.
- Detect, prevent, and investigate fraud, abuse, and security incidents.
- Keep records required for accounting, contracts, and compliance.
- Communicate with you about your requests, projects, and service updates.
We do not sell your personal information. We do not use the contents of client documents or call transcripts to train third-party general-purpose AI models.
How We Use AI
We use AI tools to help summarize, classify, draft, route, or analyze information — for example, summarizing a requested callback or drafting a proposal for our team to review. AI output that affects you (such as proposals, pricing guidance, or qualification) is reviewed by a person before it is acted on or sent.
When you request an AI callback, our AI phone assistant identifies itself as an AI assistant, states that it is calling on behalf of PureLogix.ai, confirms you requested the call, and gives you a clear way to opt out. See our AI Calling Disclosure for the full details.
Legal Bases for Processing
Where data-protection law (such as the EU/UK GDPR) requires a legal basis, we generally rely on the following, depending on the situation:
- Consent — for example, your explicit consent before we place an AI callback, and where required for certain cookies or marketing communications. You can withdraw consent at any time.
- Contract — to take steps you ask for before entering an agreement and to deliver services under a signed agreement.
- Legitimate interests — to run, secure, and improve our business in ways you would reasonably expect and that do not override your rights.
- Legal obligation — to meet record-keeping, tax, and other legal requirements.
How We Share Information
We share personal information only as needed to run our business and deliver services, and we require our providers to protect it. We may share information with:
- Service providers (subprocessors) who process data on our behalf — see the categories below.
- Professional advisors such as accountants and lawyers, where appropriate.
- Authorities or other parties when required by law, to enforce our agreements, or to protect the rights and safety of people and our business.
- A successor entity in connection with a merger, acquisition, or sale of assets, subject to this Policy.
We do not sell personal information and we do not share it for cross-context behavioral advertising.
Subprocessors
We rely on a small set of trusted vendors to operate the platform. We use providers behind adapter layers so we can change vendors when needed. The categories we use include:
- Cloud hosting and database providers.
- Object storage for documents, call recordings, and exports.
- An outbound AI phone-call vendor (used only when you request a callback).
- Large-language-model (AI) providers used for drafting, summarizing, and classification.
- Email and SMS delivery providers.
- Scheduling/calendar provider for booking consultations.
- Analytics and error-monitoring providers.
A current, named list of subprocessors will be maintained and made available to clients on request. Some providers may process data outside your country; where required, we use appropriate safeguards for international transfers.
Data Retention
We keep personal information only for as long as we need it for the purposes described in this Policy, or for as long as required by contract or law. As general guidance (subject to legal review and any signed agreement):
- Lead and inquiry data is retained while we are in contact and for a reasonable follow-up period afterward.
- AI-call consent records are retained for as long as needed to demonstrate consent and meet legal obligations.
- Call recordings and transcripts are retained for a limited period and then deleted or anonymized, unless a longer period is required.
- Client project records and documents are retained according to the signed agreement and our record-keeping obligations.
- Audit logs are retained to support security and accountability.
When information is no longer needed, we delete it or anonymize it using reasonable measures.
How We Protect Information
We use technical and organizational measures designed to protect personal information, including access controls and least-privilege permissions, tenant isolation so clients can only access their own data, encryption in transit, audit logging of sensitive actions, and secrets kept out of application code and client browsers.
No system is perfectly secure, but we work to reduce risk and to respond promptly if an incident occurs.
Your Privacy Rights
Depending on where you live, you may have rights over your personal information. We aim to honor these rights for everyone where practical. They may include the right to:
- Access the personal information we hold about you and request a copy (data export).
- Correct information that is inaccurate or incomplete.
- Delete your information, subject to legal and contractual limits.
- Object to or restrict certain processing.
- Withdraw consent (such as opting out of AI calls) without affecting prior lawful processing.
- See your consent and communication history.
- Lodge a complaint with your local data-protection authority.
To make a request, contact us at hello@purelogix.ai. We may need to verify your identity before acting, and we will respond within the timeframes required by applicable law.
Calls and Do-Not-Call
We only place an AI callback when you have explicitly requested one and given consent. You can opt out during a call or ask to be added to our do-not-call list at any time, and we will honor that request. See the AI Calling Disclosure for details.
Children’s Privacy
Our website and services are intended for businesses and adults. We do not knowingly collect personal information from children. If you believe a child has provided us information, please contact us so we can remove it.
Changes to This Policy
We may update this Policy as our practices, services, or legal obligations change. When we make material changes, we will update the date below and, where appropriate, provide additional notice.
